Step # 4 - Edit (Update) Personal Information on a Profile
Once you are in "Corps Roll" you will see all members who have profiles. Locate the member you are looking for, double click on their name or click Open Person Record, once their record is highlighted.
Personal Info
This screen will appear with full profile information, which opens immediately in the Personal Info section.
For each section you make changes to you must save your changes by clicking save.
The additional profile tabs (which are editable) are:
- Contact Info
- Demographics
- Household
- Relationships
- Contact Prefs
- Enrollments
- Troops
- Corps Cadets
- Groups
- Home League
- Commissions
- Transfers
- Attendance
- Visitation
- Giver Records
- Notes
- Documents
Proceed accordingly with edits/updates. The more information you gather and input on an individual the better to assist you today and in the future.
A visual and steps for each of the above screens appears below:
Contact Info
This screen requests the following information:
- Phone Numbers = Add a Phone
- Email Addresses = Add an Email
- Internet Entries = Add an Internet Entry
By clicking Add a Phone, Add an Email or Add an Internet Entry, the screen will appear as below.
Be sure to save your work in each section!
Demographics
This screen requests the following information:
- Ethnicity = Non-Hispanic or Hispanic
- Select one or more races = check off your selection(s)

Household
This screen will allow you to enter/update family specific information, such as name and address.
Here you can also add a person to a household or add a family photo.

Relationships
This screen will allow you to add a Corps Member to your household.
- Click Add
The following screen appears, which allows you to select a person and a relationship:
- Select a person from your corps
- Choose a Relationship
- Move the selected person into the current person's household when creating the relationship
After your selections are made, an example of how the screen appears is shown below:

Contact Prefs
This screen will allow you to select how the person would like to be contacted in the future:
- Opt IN for EMAIL communication
- Opt IN for POST OFFICE MAIL communications
- Opt IN for PHONE communications
- Opt IN for TEXT (SMS) communications

Enrollments
This screen will allow you to:
- View = a current Enrollment
- Add = a new Enrollment
- Edit = a current Enrollment
- Delete = a current Enrollment
- NSS Enrollment Code = Within the Enrollments edit screen, you may be asked to select a NSS reason for enrollment or NSS reason for discharge. This information is used to populate the NSS report.

Troops
This screen will allow you to edit & view registrations:
- Edit = an existing troop
- View Troop = view an existing troop
- Remove a Troop = delete existing troop
This screen will appear when you click Edit:
Within this screen you are able to edit the following:
- Name
- Type
- Troop
- Command
- Unit
- Start Date
- End Date
- Notes

This screen will allow you to view emblems by several filters and is then shown by:
- Troop Type
- Emblem
- Completed
- Approval Status
- Add historical emblem = add an historical emblem
- Add emblem for current troop = add a new emblem
- Edit = edit an existing emblem
- Delete = remove an existing emblem (deletes permanently from the system)
To Add an Historical Emblem:
- Click Add historical emblem
- Enter the criteria
- Click Save
To Add an Emblem to individual selected:
- Click Add emblem for current troop
- Enter the criteria
- Click Save
To Edit an Emblem to individual selected:
- Click Edit on the Right side of the screen
- Enter the criteria
- Click Save
To Delete an Emblem from individual selected:
- Click Delete on the Right side of the screen
- The following screen appears
- Click Yes or No
This screen will allow you to view awards by several filters and is then shown by:
- Troop Type
- Award
- Earned
- Approval Status
- Add historical award = add an historical award
- Add award for current troop = add a new award
- Edit = edit an existing award
- Delete = remove an existing award (deletes permanently from the system)
To Add an Historical Award:
- Click Add historical award
- Enter the criteria
- Click Save
To Add an Award to individual selected:
- Click Add award for current troop
- Enter the criteria
- Click Save
To Edit an Award to individual selected:
- Click Edit on the Right side of the screen
- Follow the prompts
- Click Yes or No or
- If there is no award listed in the grid you receive the below message
To Delete an Award from individual selected:
- Click Delete on the Right side of the screen
- Follow the prompts
- Click Yes or No or
- If there is no award listed in the grid you receive the below message
Corps Cadets
This screen allows you to enroll an individual as a Corps Cadets as deemed appropriate.
- Yes! Enroll Chester as a corps cadet now (first name of individual appears in place of "Chester")
- Click Save
Groups
This screen will allow you to:
- View = Groups by Corps, Group, Start, End, Active, Inactive and All
- Add = add a new group
- Edit = edit an existing group
- Delete = delete a current Group

Home League
This screen will allow you to:
- Enroll the individual in Home League
- Complete the criteria
- Click Apply
- Click Save
Commissions
This screen will allow you to:
- View = Commissions by Corps, Commission, Start, End, Type, Active, Inactive and All
- Add = add a new group
- Edit = edit an existing group
- Delete = delete a current Group

Transfers
This screen will allow you to:
- View = Transfers by Date, From and To
- Transfer = Transfer this person to a different unit
- Add = add transfer history
- Edit = edit transfer history
- Delete = delete transfer history
Note: When a transfer happens, anyone who is in the Corps Officer AD Security Group for both the sending and receiving unit (where the person is transferring to). Work with your IT Department to get the AD Security Groups to include the correct people.
To Add transfer history, complete the requested information and select Save.
To Edit transfer history:
- Transfers
- Select the individual
- Edit transfer history
To Delete a Transfer, please make selection. You will receive a pop-up asking you to reconfirm the deletion and a note regarding deleting the Transfer Record.
Attendance
This screen will allow you to view Attendance Records by Date, Time, Weekday, Corps, Meeting Type, Seeker? and Stewardship.

Visitation
This screen will allow you:
- View = Visitations by Corps, Date, Time, People Visited, Seekers
- Add = add a new visit
- Edit = edit an existing visit
- Delete = delete an existing visit

Giver Records
This screen will allow you:
- View = Giver Records by Name, Address, City, State, Zip and Cartridge
- Add = add a Giver Record
- Delete = delete a Giver Record
To Add/Connect a person/family to a Giver Record, make a selection from drop-down menu. After you make your selection, click Save.
To Delete a person/family to a Giver Record, make a selection. You will then receive a pop-up asking you to reconfirm that you would like to delete the record.
Notes
This screen will allow you to view Personal Notes you entered into the system:
- Preview Pane = view existing notes
- Add = add new notes
- Edit = edit existing notes
- Delete = delete existing notes
Note: If this record came from a Lotus Notes Database (Membership Rolls or Troops), the Notes section here will tell you. MR refers to Membership Rolls Lotus Notes database and Troops refers to the Troops Lotus Notes database.
To Add a Note, make a selection and then enter what you would like added to this section.

To Edit a Note, make selection and complete any necessary adjustments.
Be sure to save your work!
To Delete a Note, make selection and you will receive a pop-up asking you to reconfirm that you would like to delete the note.
Documents
This screen will allow you to view Documents you entered into the system:
- Records = view by Corps, Date Added and Document Title
- Add = add new documents
- Edit Title = edit title to existing documents
- View = view existing documents
- Delete = delete existing documents
To Add a Note, a pop-up screen appears for you to select which document you would like added to this section. Each individual screen will look different depending on software and files set to your hard drive.
- Select document
- Select open
The default file type is PDF.
To Edit Title of document, a pop-up screen appears for you to Change Document Title. Editing accordingly and click Save.
To Delete a Document, make selection and you will receive a pop-up asking you to reconfirm that you would like to delete the document.
